It's safe, secure and will save you time and money. Sound business sense, then." TITLE 1 - Welcome VOICEOVER: "We'll go through the Return page by page. So let's kick off with the first page you'll see: the welcome." Welcome/intro page now displays VOICEOVER: "So here it is. This is the welcome to WebFiling. It lists all the documents you can file here." There is a visual effect highlighting the wording 'View the list of WebFiling forms.' VOICEOVER: "It's also the place you'll find a description of the type of companies that CANNOT file an Annual Return online. So take a look here before you get started." There is a visual effect to highlight the link worded 'System boundaries' VOICEOVER: "Once you've checked that, it's time to click on continue so you can get started." There is a visual effect to highlight the button worded 'Continue'. back to topTITLE 2 - Sign in and registration The Sign in and registration page now displays VOICEOVER: "Here it is. You can sign in right away if you've already registered…" There is a visual effect to highlight the 'sign in' box. VOICEOVER: "… and you've got your 'security code' and 'company authentication code'. Just enter the email address you provided during registration…" Visual Effect: The focus of the screen is the 'Email address' field VOICEOVER: "…and enter your security code here." Visual Effect: The focus of the screen is the 'Security code' field VOICEOVER: "If you've forgotten your security code, don't worry. Just click here and we'll send you a reminder. Oh, and if you need any help, you can find it here on every page." Visual Effect: The focus of the screen is 'Forgotten security code' wording, then the 'Help' button. VOICEOVER: "Once you've entered your email and security code, let's move on by clicking the sign-in button." Visual effect: The button worded 'Sign in' is highlighted The 'Choose your company' page now displays VOICEOVER: "Next, let's finish signing in. Just select your company type…" Visual effect: the company type 'pull down menu' displays the list of choices VOICEOVER: "… make sure you choose the location of your registered office address. Then enter your company number and authentication code. And then click 'continue." Visual Effect: Simultaneously with the voiceover the field titles worded 'Company number' and 'Authentication code' are highlighted and a cursor clicks on the button worded 'Continue'. back to topTITLE 3 - Register for PROOF scheme VOICEOVER: The next page is where you'll register your company for PROOF. That's short for Protected Online Filing Visual effect: The letters 'P', 'R' and 'O' pulses on the title, followed by the letters 'O' and 'F'. Man speaks directly to the camera. "Did you know 50 to 100 businesses are affected by fraudulent filings every month? That's why we've introduced PROOF to combat Corporate Identity Fraud. Sign up to the scheme and we can help safeguard your company from fraudsters. It's simply sound business sense." The PROOF registration page now displays VOICEOVER: "So here we are. Join the PROOF scheme by reading the terms and conditions here, and agreeing here…" Visual effect: Simultaneously with the voiceover PROOF 'Terms and Conditions' are highlighted and then the tick box adjacent to this wording VOICEOVER: "… then click this button to join. Or, if you don't want to join, click here. Either way, it'll take us through to the next page. Visual effect: Simultaneously with the voiceover the 'Join PROOF' and 'Don't join PROOF' buttons are highlighted. Man speaks directly to camera. "Just so you know, once you've registered for the PROOF scheme, in the future you'll need to file your annual return and make changes to address or company officers electronically. It helps stop fraud. So as we'll no longer accept paper forms, please pass on the message to anyone else authorised to file on behalf of your company." back to topTITLE 4 - Menu VOICEOVER: "This is the menu for Filing Company Information." The File Company Information page now displays. VOICEOVER: "This page has been designed to help you find the forms you need to file. You'll find your Company name and number, here and here." Visual effect: Company name and number are highlighted at top of the page. The page then blurs so you can only see the central part. VOICE OVER: "… and here you'll find a list of all the forms you can submit online." Visual effect: The list of forms is then blurred into the background so that only the heading tabs are highlighted. VOICEOVER: "…use these tabs to display the list of forms in a way that suits you best: by category… in alphabetical order…. or by form number." Visual effect: One-by-one, with the voiceover, a cursor moves over the tabs worded 'category', 'alphabetical order' and 'form number'. VOICEOVER: "You're in control here too. This lets you request a PDF copy of the Annual Return information we hold on the company... " Visual effect: the wording 'Order email of current company information' link is highlighted VOICEOVER: "…And you can change or cancel a company's registration details here…" Visual effect: The wording 'Company Registration Details' link is highlighted VOICEOVER: "… While this shows whether or not the company has PROOF status." Visual effect: the wording "PROOF status" section on the right hand side of the page is highlighted. VOICEOVER: "… Or you can even log-out and File for a different company here. That's handy for accountants." Visual effect: The wording "File for a different company" link is highlighted. Then the page is knocked back so that only the very top left is in focus. VOICEOVER: "Okay, this part of the page relates to you and the email address and security code you've signed in with. You can click here to change your security code or email address, or click here to get a PDF copy of the information you've submitted." Visual effect: The links worded 'My account details' and then 'View data submitted' are highlighted. VOICEOVER: "For future reference, you'd usually click here to appoint a director or here for a secretary, so that would be the name of a person. And click here for a corporate director or here for a corporate secretary, which could be a company name. But for now, let's click here to file an Annual Return." Visual effect: In time with the voiceover, links in centre of page, worded 'APO1 (director)', 'AP03 (secretary)', 'AP02 (corporate director)' and 'AP04 (corporate secretary)'. Then the cursor moves over the 'Annual Return' option and clicks. back to topTITLE 5 Annual Return VOICEOVER: "The Annual Return page is up next." The Annual Return page displays. VOICEOVER: "Take a look here for the expected date of your Annual Return. If you don't wish to change the date, then you can move on. If you want to bring the date forward, you can do so here. But make sure you file your Annual Return within 28 days of that new date. Otherwise, you'll have to file a further Return, made up to the original date." Visual effect: the expected date of the annual return and then the field where you can alter the date are highlighted followed by the section entitled important information. VOICEOVER: "Now it's a simple case of answering yes or no. Was the company a traded company at any time during the period? By traded company, we mean a company whose shares have been admitted to trading on a regulated market. With that done, let's click 'CONFIRM' to proceed." Visual Effect: The question is highlighted and a knock back effect blurs out a first question which is no longer required. The button worded 'Confirm' is highlighted. back to topTITLE 6 - Address details Man speaks directly to camera. "We'll be going through the actual Annual Return filing pages next. It's easy to see where you are thanks to the tabs at the top… and if you need to take a break you can log out and finish later. (sips tea) The Address details page displays. The tabs at the top are circled and also the 'Log out and finish' button. VOICEOVER: "These are the tabs, and here's the log out option. This page is easy. And it's clever too. It will be pre-populated from our records with any information we already have for you - for example the registered office, already appointed officers. And this will happen even if you've never filed your Annual Return online before. This will save you time as you just have to confirm the details are still correct with this button…" Visual effect: The 'address' is circled and then the 'Confirm' button. VOICEOVER: "… Or update the registered office address by clicking here…." The 'Change of Registered Office Address' page displays VOICEOVER: "… which will take you to the Change of Registered Office Address page, where you need to fill in all the required fields, then click here. And on we go." Visual effect: The page blurs to just show central fields, the cursor moves over the pull down menu, all the fields are then circles, the cursor clicks on submit button. back to topTITLE 7 - SAIL VOICEOVER: "This stands for Single Alternative Inspection Location. In other words, where your Company Registers are kept." The Notification of single alternative inspection location and register(s) page is displayed. VOICEOVER: "Okay, where there's no address recorded, it will say so here." Visual effect: Page knocks back to only highlight the wording 'No details of company records registered'. VOICEOVER: "If that's correct, then you can select confirm. But if your company records are held at a location other than the registered office address, you'll need to let us know by clicking on update. It's that simple. " Visual effect: The cursor moves over confirms, and update. back to topTITLE 8 - Company Officers The Company Officers page is displayed. VOICEOVER: "You'll see the addresses shown are service addresses. Where the director is a person, by that we mean not a corporate director, then the Country or State of Residence must be provided. It'll tell you what's needed here." Visual effect: The address is highlighted and "State of residence" is also highlighted. VOICEOVER: "If neither a person nor corporate appointment has been confirmed, then this message will be displayed. Just click on Change Details and fill fields. You'll need to in order to complete your Annual Return." Visual effect: In time with the voiceover the message 'New Country / State of residence or EEA / non-EEA details required' is circled and then the 'CHANGE DETAILS' button is also circled. The Change of Director's details page is displayed. The page knocks back so only the inner fields are highlighted. VOICEOVER: "This is the page you'll see if you're changing the details for a director who is a person, not corporate. Simply enter the date of change, for instance this could be the annual return date. Then select the Country/state from the drop down menu. Then tell us if any other changes are required to either the service address and/or the residential address. Where address changes are indicated which are not the same as the registered office, the screen will expand providing address fields for completion." Visual effect: In time with voiceover the 'Date of change' field is highlighted and then the 'Country/state' field. The page scrolls to questions about whether changes are required. The YES field is highlighted and the screen is shown expanding to provide address fields for completion. VOICEOVER: "Once that's done, press submit, and let's move on to the next section." back to topTITLE 9 - SIC Codes VOICEOVER: "We're half way through filing. This one is short for Standard Industrial Classification codes." The SIC codes page is displayed, just the middle section is highlighted clearly VOICEOVER: "Here goes… if you're a company filing an Annual Return for the first time, you need to select a SIC code. By the way, a SIC Code describes the principal business activity of your company. You can 'REMOVE' or 'ADD a NEW CODE' by clicking here, or here. When you add a code, you'll be prompted to choose a heading that applies to your company, as well as a trade description. If everything's correct, click here." Visual effect: Cursor moves over the three buttons worded 'REMOVE', 'ADD NEW CODE' and 'CONFIRM'. back to topTITLE 10 - Share Capital VOICEOVER: "Share capital. Or capital as it says on the tabs." The Share Capital page is displayed, just the middle section is highlighted VOICEOVER: "This section requires companies to update these specific share options: Amount paid up on each share… Amount unpaid on each share… Prescribed particulars - or rights attached to shares, such as voting rights. Make the amends by clicking here. Or if it's your first Annual Return, the button will read ADD/AMEND." Visual effect: The field titles 'Amount paid up on each share', 'Amount unpaid on each share' and 'Prescribed particulars' are circled and a cursor put over the buttons worded 'UPDATE/AMEND CAPITAL' and 'ADD/AMEND'. The update/amend capital page is then displayed. VOICEOVER: Here's what you'll see when you've clicked on the Update/Amend button. Your capital and shareholder details, including prescribed particulars, are usually in the Articles of Association for a company. An example might help here. For the simplest form of private company using, say, the standard model articles, the statement could be "each share is entitled to one vote in any circumstances." Visual effect: A circle is drawn around the 'prescribed particulars field' and as the voiceover says "each share is entitled to one vote in any circumstances" it is inputted into the field. VOICEOVER: When that's done, press submit to return to the previous capital screen. Visual effect: Cursor clicks submit The Share Capital page is displayed VOICEOVER: "Now press Confirm. Simple." Visual effect: Cursor clicks confirm back to topTITLE 11 - Shareholders VOICEOVER: "This page is all about details of shareholdings." The details of Shareholdings page is displayed. VOICEOVER: "If it is the company's first Annual Return and there are no shareholders details displayed, scroll to the bottom of the screen and click here." Visual effect: The page is scrolled down page and the wording 'ADD/UPDATE OTHER SHAREHOLDERS' is circled. Scroll back up the page. VOICEOVER: "Let's go back up again, to make sure the shareholders details are correct, and the totals and share class match the information on the previous capital screen. Then click confirm." Visual effect: The page displays the shareholder details in the middle, then the cursor clicks on confirm. back to topTITLE 12 - Submission VOICEOVER: "Not long now, we're almost finished." The Submission of Annual Return confirmation page is displayed. VOICEOVER: "Very helpfully, all the changes made to your Annual Return during a session will be listed on the Submit page. Better still, corrections can still be made at this stage - just click on the appropriate tab." Visual effect: The tabs at the top of the page are highlighted. VOICEOVER: "Click on SUBMIT" Visual effect: The button worded 'submit' is highlighted. back to topTITLE 13 - Contact details VOICEOVER: "We're getting to the end." Contact details and authorisation page is displayed. VOICEOVER: "This is really straightforward. Your email address is pre-populated, so check it's correct." Visual effect: The email field is highlighted. VOICEOVER: "If you wish to enter an alternative address to your own, say a director's, then you can choose to add their name and telephone number here, in case we need to talk to them about a query. Visual effect: the fields entitled 'Forename', 'Surname' and 'Telephone Number' are highlighted. VOICEOVER: "Check the person authorising the submission is entitled to do so, here, then let's move on." Visual effect: The two paragraphs of copy about 'The position of the person authorising….' is highlighted then the button worded 'submit' back to topTITLE 14 - Payment VOICEOVER: "The fee is significantly lower, thanks to you filing online." The Payment page is displayed. VOICEOVER: "Read this bit, it's important. Note down the 'Submission number', as it's unique and linked directly to your data. We'll need it to track your data, should a problem occur." Visual effect: Just the payment half of the page is in focus. A loop appears round the 'Submission number'. VOICEOVER: "Then it's time to pay. You can pay by credit or debit card, or by account if you have set up an online filing credit account with Companies House. You'll need to set this up in advance, and it's only available for customers filing 10 or more Annual Returns a year. You'll find the application form online at our website." Visual effect: The options with the wording 'credit card' and then 'account' are circled. VOICEOVER: "So select your payment method. If you're paying by account then simply enter Your 'Presenter ID' and 'Presenter Authentication Code, and submit." Visual effect: The words "here "and "here" appear in the two fields mentioned in the voiceover. Then the cursor moves over submit and clicks. VOICEOVER: "Or if you're paying by card, select this option and press submit to enter your card details." Effect: Credit/debit field goes green, cursor presses submit. (SFX: Click) WebFiling Credit Card Payment' page is displayed VOICEOVER: "Once you've entered your details, our payment provider will send an automated email to confirm the amount and receipt of payment. Now back to the payment page." Visual effect: Cut back to payment page VOICEOVER: "The Annual Return data will be electronically sent to Companies House. Copies of this submitted data can be viewed and downloaded as a PDF for 10 days after your submission. Simply click 'Return to Main Menu' and select 'View Data Submitted', which is your personal download area." Visual effect: A circle appears round 'Return to Main Menu". back to topTITLE 15 - Confirmation emails VOICEOVER: "We'll send you two of these." An example of a Confirmation email is displayed VOICEOVER: "After submitting your Annual Return, you'll receive two emails. The first one will confirm we've received your data and you should get that within 3 hours of submitting your Annual Return. If you have any problems, contact us, quoting your submission number. The second email tells you whether your data has been accepted, or whether there's outstanding information you need to complete. You'll get this within 3 working days." Man talking to camera. "That's it. You're done. If you have the right information to hand, it should take you no more than 20 minutes to complete your Annual Return online.
